Administration

Tips 'n' Trix

Tip:
Starting your choir year: putting names with faces.

The issue:
You wish to make it easier for you and your choir/ensemble members to learn each other's names and faces, to increase connection and fellowship.

Solution:
Use music administration software such as “Church Musician” to print ensemble directories with pictures, so that each choir member can have contacts with pictures at their fingertips.

Get your people into the Church Musician database, either through the Outlook Sync function, or through Excel Import, or through data entry.

It is important to get their picture into the database too. Either take their picture using a digital camera or scan their picture using your scanner. Save as a JPEG. Don't make the picture too large. 120 x 150 pixels at 72 dpi is plenty. If you don't have a regular picture to scan, maybe your church has a recent photo directory that you can scan from.

To insert a picture into the Personnel file, click on the Picture area, then select Edit>Insert Object>Create from File, then navigate to the file you have saved.

Select "Personnel Reports" from the Personnel menu, then specify the Ensemble name and "Picture Directory" report. Leave the Section as "All" if you wish to have all sections listed. Click "Process" in the next dialog window.

A Pictorial Directory will be displayed. Click the Printer icon on the floating toolbar to print the directory for the specified ensemble.

This is particularly useful for setting up a "phone tree" within an ensemble when designated callers need to contact their assigned individuals for reasons such as inclement weather, special event, etc.
